Academic Progress Tracking

ISGP Annual Progress & Committee Report Form

The University of British Columbia requires all currently registered graduate students to provide an academic progress report every year. This annual progress report is only for the ISGP office and is separate and different from the Grad Studies “Annual Progress Report for Fellowship Holders” you may have already filled out and submitted if you hold university awards.

The purpose of this report is for the ISGP to ensure all the components of your program is on track and to detect any potential issues that may arise and to address them in a timely manner. This report must include information within the last academic year , September (Winter Term 1) – August (end of Summer Term). Please submit this report even if you were partially on leave during parts of this period. Students who are exempt from this report include:

  • Incoming students (September 2025 Start)
  • Students on leave during this entire period
  • Students who have already defended their theses
  • Students who withdrew from the ISGP

Failure to submit this Annual ISGP Progress Report by JUNE 30 will cause a delay in processing future requests (registration, candidacy, extension, leaves, etc.).

(Update to Annual Progress Report form) Committee Report

In order to ensure the quality of the student’s program remains high and that students are fully supported by their co-supervisors and committee, the ISGP has created an important new section on the annual progress report form: Supervisory Committee Report, located at the bottom of the form (Section D), which must be filled out by at least one supervisor.

This section requires supervisors to be more involved in the student’s academic progress tracking, and emphasizes the collaborative effort between students and supervisors to enhance the academic experience within the ISGP. This form, and the meetings that precede it, are intended to provide a documented record for reference and future guidance for our students.

Expectations for Completing the New Section:

Annual Meetings: Students must meet with their co-supervisors and committee at least once per year in order to ensure accurate reporting of student progress.

  • Bring the ISGP Annual Progress & Committee Report form to the meeting.
  • At least one co-supervisor should complete the form as a post-meeting practice.

Recommended Timing: Schedule this meeting between April to early June to facilitate the completion of the form, which is due on JUNE 30.

Reporting Requirement: Students should prepare a detailed presentation in the format of their choice (slide deck, oral report, etc.) to go over their progress within the past year, including:

  • Courses taken
  • Research progress
  • Chapters worked on
  • Other updates related to their progress
  • Potential concerns

Note: This presentation is an important record for students to provide to their supervisors. It facilitates and ensures that the committee can provide the necessary support to students when they need it.
