ISGP Annual Progress & Committee Report Form
The University of British Columbia requires all currently registered graduate students to provide an academic progress report every year. This annual progress report is only for the ISGP office and is separate and different from the Grad Studies “Annual Progress Report for Fellowship Holders” you may have already filled out and submitted if you hold university awards.
The purpose of this report is for the ISGP to ensure all the components of your program is on track and to detect any potential issues that may arise and to address them in a timely manner. This report must include information within the last academic year, September (Winter Term 1) – August (end of Summer Term). Please submit this report even if you were partially on leave during parts of this period. Students who are exempt from this report include:
- Incoming students (September 2026 Start)
- Students on leave during this entire period
- Students who have already defended their theses
- Students who withdrew from the ISGP
Failure to submit this Annual ISGP Progress Report by JUNE 30 will cause a delay in processing future requests (registration, candidacy, extension, leaves, etc.).
Supervisory Committee Participation
As part of the annual progress reporting process, students must meet with their co-supervisors and/or supervisory committee at least once during the reporting year.
The purpose of this meeting is to:
- Review academic and research progress
- Discuss upcoming milestones and timelines
- Identify any challenges or concerns
- Determine whether additional support or guidance is needed
Students should bring the ISGP Annual Progress & Committee Report form to the meeting and provide an overview of their progress over the previous year. This may be done through a slide presentation, oral report, written summary, or another format agreed upon by the committee.
Following the meeting, at least one co-supervisor should complete Section D (Supervisory Committee Report) of the form.
Recommended timing: April to early June, in advance of the June 30 submission deadline.
NEW: ISGP Year 6 Academic Completion Plan (PhD Students)
PhD students in Year 6 or beyond of their program are required to complete a Year 6 Academic Completion Plan.
The purpose of this supplementary document is to support timely program completion by:
- Reviewing current dissertation progress
- Identifying barriers or delays affecting completion
- Establishing a revised term-by-term completion timeline
- Confirming supervisory committee expectations regarding completion
The Academic Completion Plan must be completed in consultation with the student’s supervisors and supervisory committee and submitted alongside any requested program extension documentation.
Supervisor Review and Sign-Off
As part of this process, students are expected to discuss their Academic Completion Plan with their supervisors and supervisory committee. The completed form must include supervisor input regarding the feasibility of the proposed completion timeline and must be signed by both the student and supervisor(s) prior to submission.
PhD students who have entered their sixth year of study (and beyond) are required to complete the Year 6 Academic Completion Plan.
